Who we are
Shwari Dental Clinic ("Shwari", "we") of Shwari House, Ground Floor, Riverside Drive, Westlands, Nairobi, is the data controller for the personal data described in this notice. We process personal data in line with the Data Protection Act, 2019 of Kenya and its regulations. You can contact us about your data at melvinsimintei@gmail.com or on 0718 700 681.
What we collect
- Contact details — name, phone number, email and address.
- Booking details — the treatment you're interested in, preferred times and anything you tell us in a message.
- Insurance and payment details — insurer, scheme, member number and billing records.
- Health information — medical history, dental records, X-rays, scans and clinical photographs. This is sensitive personal data and receives extra protection.
Why we use it
- To arrange and confirm appointments and reply to your enquiries (with your consent, given when you submit a form or message us).
- To provide safe dental care and keep the clinical records the law requires.
- To bill you or your insurer, and to request pre-authorisation.
- To send appointment reminders and aftercare messages by SMS or WhatsApp.
We never sell your data, and we do not use your health information for marketing.
Clinical photographs
We only use photographs of your teeth outside your clinical record — for example in our smile gallery — with your separate, written consent. You can withdraw that consent at any time and we will remove the images.
Who we share it with
Your insurer or scheme (for billing), dental laboratories (for crowns, veneers and aligners, using the minimum information needed), specialists you are referred to, and service providers who help us run the clinic — such as our secure records system, our website form provider and WhatsApp. Each is bound to protect your data. Some providers store data outside Kenya; where they do, we rely on appropriate safeguards as required by the Act.
How long we keep it
Clinical records are kept for as long as required for medical records in Kenya and for professional indemnity purposes. Enquiries that don't lead to an appointment are deleted within 12 months.
Your rights
You have the right to be informed, to access your data, to object to processing, to correct or delete inaccurate or unnecessary data, and to data portability. Contact us to exercise any of these rights. If you are unhappy with how we handle your data, you can complain to the Office of the Data Protection Commissioner.
This website
This website does not use advertising cookies. The booking form sends your details to us through a secure form service. The map on our location page only loads — and only shares data with Google — when you choose to show it.
